Sessions & bookings

Understand Pineway offers, sessions, availability, and bookings from setup through delivery.

Use Sessions to decide when clients may book, package one or more sessions into an offer, and manage each booking through to the meeting. When the setup is complete, clients can choose an available time and you can review the booking in one place.

How offers, sessions, and bookings fit together

For a one-session offer, the client chooses that session’s time while booking the offer. For an offer with several sessions, the client books the first session at checkout and schedules the remaining sessions from their client portal.

Set up your booking workflow

Set up availability before building an offer so you can select the correct schedule in the offer editor.

  1. Open Availability and review the schedules under Your availability. Select one to change its name, timezone, or hours, or select Add availability when you need a separate schedule.
  2. Open Calendar settings if you use Google Calendar. You can choose where new sessions are added and which calendars Pineway checks before showing a time as available.
  3. Open New offer. Complete the 3 parts of the editor:
    • Offer basics sets the card, URL, availability, meeting location, price, and who can access the offer.
    • Sessions defines each meeting included in the offer. An offer needs at least 1 session.
    • Booking & checkout sets the detailed description, client information, optional smart forms, and email receipt.
  4. Choose how clients can reach the finished offer. Public adds it to your Pineway page, while Invite only keeps it off your page and available through its direct link.
  5. Select Publish when the offer is ready. Save & exit creates a draft instead, but Pineway still requires the offer’s required fields before it can be saved.

The finished offer appears under Offers. Published offers show a Published badge together with Public or Invite Only; drafts show Draft.

What clients do when they book

A client opens the offer and selects its booking button. Pineway then shows the first session’s available dates and times in the client’s chosen timezone.

After choosing a time, the client enters their name and email address and completes any smart form attached to checkout. A free offer can be confirmed without payment; a paid offer includes payment before the booking is confirmed.

Once confirmed, the client can add the session to Google Calendar or open their client portal. Pineway also sends a booking confirmation and the email receipt you prepared in the offer.

Review and act on bookings

Open Bookings to see client bookings without opening each offer separately.

  • Upcoming contains sessions that have not happened yet. Select a booking to review the client, offer, date, time, meeting location, price, session details, and any checkout answers.
  • Past keeps earlier sessions available for reference.
  • Search filters the visible bookings when you need a particular client or offer.

For an upcoming booking, select the (⋮) button on the right to reschedule it or cancel it. Rescheduling lets you choose another time from the offer’s availability. Cancelling notifies the client and makes the time available again.

Open the booking itself when you need to go to the Client profile or select Join meeting. The meeting button appears when the booking has a meeting link.
